10. Annual expenses (budgets per year). (At least 2 hours )

In part  09. The budget in the form indicated by donors of this section, the typical budget of an integrated development project is usually divided per year of execution into :

Budget for the first executive year.

Budget for the second executive year.

A longer execution period may be preferred. In that case there would be another sheet for the third year and, if applicable, for the fourth year and so on.

This form of budgeting is due to the budgetary requirements often imposed  on financing agencies. They have to be able to divide their obligations by calendar years. This form of division is not natural to integrated development projects. The planned social, financial, productive and service structures take form each at its own rhythm. This can vary from project to project, from well-commission to commission, and from tank-commission to tank-commission.

Donors may also require item by item hypotheses showing the  various phases of execution. These hypotheses are based on the annual activity plans at points 05.03  Activity plan and 06.01 Annual activity plan of the Model. (Section 05.03 and 6.01 both use the same document.)

However, for the reasons given above, the activity plan itself  is the product of subjective ypothrses.

The annual activity plans are shown in graphic form in:

Graph showing  first-year activities.

Graph showing second year activities.

The graphs were developed on the basis of the Excel file for the budget  in file  07.13 Excel spreadsheets  for budget preparation (technical document).

First-year activities (Column C)

Second-year ctivities (Column D)

Since the purpose of these documents is to help donors with annual budgeting, separate graphs have not been prepared for inividual budget groups on an annual basis. This information can, however, be rapidly produced should it ever be required. Quarterly graphs sub-divided into item groups are available. They can be broken down to produce monthly graphs as required.

1. Research.

For each of the proejcts selected during your work for part  09. Budget in the form requested by donor  prepare an Excel file like the one for  first year activities  and second-year ctivities with one column for the item by item amounts for each year. Then make a graph for each year for each project.
